The Role
Delivery Operations Specialist plays an important role in supporting Delivery Operations by ensuring the effective administration, reporting, and governance of staff augmentation contracts and operational data. Working closely with the Delivery Operations Manager and other stakeholders, the Delivery Operations Specialist ensures that operational and contractual processes run smoothly and align with organizational objectives. This role serves as a key driver of data quality, timely contract updates for ext. contractors, process improvement, assistance in resourcing and operational reporting to support efficient decision-making.
What you will do
- Provide administrative support for project-related operations in staff augmentation contracts where no dedicated Project Manager is assigned.
- Manage timesheets and billing sheets for staff augmentation contracts, ensuring timely preparation and submission for Client Success Manager (CSM) review.
- Act as a central point of contact for operational queries related to staff augmentation contracts.
- Compile and deliver regular status reports for staff augmentation projects to ensure transparency and alignment with contract requirements.
- Collaborate, support and educate stakeholders (CSMs, CCMs, Project Managers, HR) to maintain a high standard of data quality, enabling reliable decision-making.
- Design and implement standardized reporting processes for contract performance and operational metrics.
- Provide reports and insights to the Delivery Operations Manager on operational trends, contract performance, and compliance issues.
- Work closely with Delivery Operations, Client Success Managers, and Resourcing teams to ensure smooth coordination and communication across functions.
- Identify areas for process improvement in operational administration and implement solutions to enhance efficiency and accuracy.
- Contribute to operational excellence initiatives driven by the Delivery Operations Manager to improve service quality and consistency.
- Manage data integrity issue resolution by monitoring and addressing data quality issues, including but not limited to:
- Verifying contracted roles align with statements of work (SOW).
- Resolving allocation seniority mismatches.
- Contract status accuracy and monitoring contract timelines.
- Tracking external contractor statuses, including start and end dates, and monitoring compliance with ratios.
- Setting up a reporting system around the data to ensure notice periods are respected and operational data is kept up to date for decision-making
Requirements
- 2+ years of experience in a project administration, PMO, or operational role within a technology or software services organization.
- Strong understanding of project management processes and types of contracts (F&P, T&M).
- Experience with timesheet management, billing processes, and operational reporting.
- Excellent organizational and multitasking skills.
- Analytical mindset, ability to process data, and translate insights into actionable information.
- Strong attention to detail and ability to ensure data accuracy.
- Proven ability to collaborate across functions and communicate effectively with diverse stakeholders.
- Proficient in Excel, with advanced skills to manage, analyze, and present data effectively.
- Familiarity with tools and systems used in operational reporting and data governance (e.g., project management software).
